Our whistleblowing policy

What can be reported?
All reports of violations or potential violations of our company’s policies or rules could relate to a variety of issues. These include human rights violations, fraud, corruption, influence peddling, data protection violations, harassment, violations of international sanctions and embargoes, health and safety risks, environmental offenses, discrimination, criminal offenses and regulatory violations.
What information should be provided?
The reports submitted should reflect the facts as precisely and comprehensively as possible. Assumptions should be avoided. The focus is on objective information and clear descriptions of the observed or experienced situation to enable an accurate assessment and appropriate action to be taken.
Reports should include information on the following questions:

What happened?

When did it happen?

Who is or was involved?

Is the circumstance still ongoing?

What are the risks and how urgent is the situation?

How did the whistleblower become aware of the facts?

Are there any witnesses or other persons affected by the situation?

Confidentiality

The identity of the whistleblower and any personal information relating to the submitted incidents and all submitted documents will be kept strictly confidential. This confidentiality will be maintained unless Symacon System + Service GmbH is required by law to report all or part of the information to a public authority.

No retaliation

Symacon SSG, its business partners and employees will not retaliate against any person who makes a report or participates in an investigation in good faith. Individuals who retaliate against others for making a report or participating in an investigation in good faith will be disciplined, up to and including termination.

Symacon SSG reserves the right to take disciplinary and other appropriate steps against individuals who knowingly make false or malicious statements to mislead or misdirect investigations.

Protection of personal data

The data collected by the Symacon SSG whistleblowing system is processed in accordance with the provisions of the European General Data Protection Regulation (GDPR). All necessary measures are taken to ensure data protection during data collection, data transfer and data archiving. You have the right to access, correct or change your personal data.
